Job Opportunity – PODIUM 2026 Project Administrator

Term: 8-month contract, November 2025 – June 2026, 20 hours/week (full-time during the event)

PODIUM 2026 National Choral Conference and Festival is currently seeking a Project Administrator. Reporting to the senior staff of Choral Canada and the British Columbia Choral Federation, the Podium Project Administrator plays a key role in the planning and delivery of PODIUM 2026. The Conference and Festival will take place May 14-17, 2026 in Victoria. 

Areas of work include:

  • correspondence with Podium participants (delegates, choirs and singing groups);
  • logistics management (scheduling, facilities, contracts etc);
  • facilitating and supporting the work of Podium committees;
  • coordinating performers and presenters;
  • management of delegate registration and concert ticket sales;
  • complete and accurate record keeping of hours worked and tasks undertaken;
  • assessment and evaluation; and
  • final reports (eg. SOCAN).

The successful applicant will have a passion for choral music/group singing and the arts, and will be a strong team player with a positive attitude. Other job requirements include:

  • strong project management skills and experience with multi-day events;
  • strong organizational skills;
  • excellent verbal and written communication skills in English, while fluency in both English and French is considered a valuable asset;
  • exceptional computer skills, including proficiency with Microsoft Office and Google Drive;
  • comfortable learning new software (ticketing platform and conference app);
  • strong leadership skills;
  • experience working closely with volunteers;
  • experience with virtual events and platforms – recording, streaming, etc.;
  • the ability to prioritize tasks, multitask, and budget time appropriately; and
  • having a strong understanding of and connections in the Victoria performing arts scene.

As a self-employed contractor, the Project Administrator will equip and work from their home but is expected to be available on site for the duration of the Podium Conference and Festival (May 14-17, 2026) at the University of Victoria as well as other sites around Victoria such as Christ Church Cathedral, including several days pre- and post-conference. They will be expected to attend all virtual National Committee meetings (monthly) and Core Team meetings (weekly on Thursdays at 8 AM Pacific).

PODIUM 2026 is flexible with the Project Administrator’s desired office hours to accommodate other part-time jobs or other responsibilities, however a number of dedicated daytime office hours will be required including weekly and monthly meetings. 

The position is part-time, increasing to full-time hours during the event.

Podium is Choral Canada’s biennial bilingual choral conference and festival. It is co-hosted with a different provincial choral organization for each iteration. In 2026, the event will be a hybrid event (both in-person and virtual). It will include hundreds of in-person and virtual delegates, performers, presenters, and marketplace exhibitors. The conference offers plenary sessions, master classes, and networking and community building functions; the festival will include multiple concerts in different venues throughout Victoria.
